Section 1

Introduction

This Privacy Policy explains how HairGauge handles information connected with the public HairGauge website, enquiry forms, public verification tools, verified clinic listings, software access, and platform-level support.

It does not replace the privacy notices, consent processes, or legal responsibilities of clinics using HairGauge in their own environments.

Section 2

What HairGauge Is

HairGauge is a digital operating system and verification platform for hair restoration and hair transplant clinics. It provides platform structure, verification, clinic certification, communication workflows, recovery journey tools, and software infrastructure.

HairGauge is not a hospital, medical provider, clinic, medical decision-maker, controller of clinic client or patient records, or replacement for professional medical judgment.

Section 3

Important Notice About Clinic Client Data

HairGauge does not handle, own, control, or centrally store clinic client or patient data.

HairGauge does not centrally store or manage the private client/patient records of clinics using separate or self-hosted installations. Clinics remain responsible for the client information they collect, upload, manage, process, communicate, or store within their own clinic environment.

Section 4

Information We May Collect

Depending on how you use the public website or contact HairGauge, we may collect information that you choose to provide and limited technical information needed to operate the website.

  • Name, email address, and phone number.
  • Clinic name, clinic location, and website URL.
  • Demo request information and clinic verification enquiries.
  • Support request information and communication preferences.
  • Technical browser, device, network, security, and usage information.
  • Public certificate or clinic verification references.
Section 5

Information We Do Not Collect or Control

The HairGauge public website is not intended for submitting private medical files or detailed patient records.

  • HairGauge does not centrally handle clinic patients’ private medical files.
  • HairGauge does not centrally control clinic treatment records.
  • HairGauge does not centrally own clinic client photos.
  • HairGauge does not centrally decide clinic medical instructions.
  • HairGauge does not replace clinic consent and privacy obligations.
  • HairGauge does not sell clinic client data.
Section 6

How We Use Information

HairGauge may use information to respond to enquiries, arrange demos, assess clinic onboarding or verification requests, provide platform-level support, operate public verification services, maintain security, improve public website performance, honour communication preferences, and comply with applicable legal obligations.

Information submitted through a form is used for the purpose described on that form and related follow-up. HairGauge does not use public enquiry forms to make clinic medical decisions.

Section 7

Certificate and Clinic Verification Data

HairGauge may process limited public or verification-related information needed to confirm whether a clinic certificate, procedure certificate, badge, or verified clinic profile is valid.

Verification pages should not be treated as full medical records.

  • Certificate number and public verification link.
  • Clinic name and verification status.
  • Issue date and certification level.
  • Badge or listing status.
Section 8

Demo, Contact, and Onboarding Forms

Demo, contact, support, and clinic onboarding forms collect the details needed to understand and respond to a request. Please do not submit passwords, payment credentials, private medical records, or information you are not authorised to share.

Submitting an enquiry does not create a medical, clinic, certification, or contractual relationship by itself. Additional review or agreements may be required.

Section 9

Cookies and Website Analytics

HairGauge may use essential cookies or similar technologies for session security, form protection, language preferences, accessibility, and reliable website operation. Where optional analytics are used, they may help us understand general website performance and improve public content.

Browser controls may allow you to restrict cookies, although disabling essential storage may affect some website features.

Section 10

Data Sharing

HairGauge may share limited information only when reasonably needed for platform operation, hosting or service providers, security, support, legal compliance, verification display, or clinic-requested services.

HairGauge does not sell personal information to advertisers.

Section 11

Clinic-Controlled Data

Clinic client data remains controlled by the clinic using its own installation or account. Clinics are responsible for their records, procedures, instructions, communications, uploaded client data, consent processes, staff actions, access controls, retention, and local compliance.

If you are a clinic client or patient and want to access, correct, download, or delete your personal information, you should first contact the clinic that collected your information, because the clinic is normally the controller of that information.

Section 12

International Use

HairGauge may be accessed by clinics and users in different countries. Privacy requirements may vary by country, and clinics are responsible for complying with laws that apply to their own clients, staff, and operations.

Where HairGauge uses service providers across borders, reasonable contractual, organisational, and technical measures may be used as appropriate to the service and applicable law.

Section 13

Data Security

HairGauge uses reasonable technical and organisational measures intended to protect the public website, enquiry information, verification services, and platform access. No internet service or storage method can be guaranteed completely secure.

Clinics remain responsible for security inside their own environments, including user permissions, devices, staff access, backups, local hosting, and incident response.

Section 14

Data Retention

HairGauge retains website, enquiry, verification, and platform-level information only for as long as reasonably needed for the relevant purpose, security, support, record-keeping, dispute handling, or legal obligations.

Retention of clinic-controlled client or patient records is determined by the clinic and the laws that apply to it, not by this public website policy.

Section 15

Your Rights

Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, objection, portability, or information about how personal information is used. HairGauge will assess valid requests relating to information it controls.

Requests about records held inside a clinic-managed installation should be directed to that clinic first. HairGauge cannot fulfil a clinic data request where it does not control or possess the relevant record.

Section 16

Children and Minors

The HairGauge public website and clinic platform services are intended for professional and general adult use and are not directed to children. Clinics are responsible for lawful consent, parental or guardian involvement, and handling of information relating to minors where applicable.

Section 17

Medical Disclaimer

HairGauge is not a medical provider and does not provide medical diagnosis, treatment, surgery, prescription, or emergency medical services. Medical decisions must be made by qualified clinic professionals.

If you need medical assistance, contact your clinic or an appropriate qualified healthcare or emergency service.

Section 18

Third-Party Links and Services

HairGauge pages may link to clinic websites, verifier services, hosting providers, messaging tools, or other third-party services. Those services operate under their own terms and privacy practices. HairGauge is not responsible for third-party content or privacy practices.

Section 19

Changes to This Privacy Policy

HairGauge may update this Privacy Policy when services, laws, security practices, or platform responsibilities change. The current version will be published on this page with an updated date. Material changes may be highlighted where appropriate.

Section 20

Contact

Contact HairGauge with questions about this Privacy Policy, public website information, verification records, demo requests, or information directly controlled by HairGauge. Clinic client and patient data requests should be sent to the clinic that collected or manages the information.
